1. Who We Are

LoopStay is a company based in Geneva, Switzerland. This policy describes how we collect, use and disclose personal data when you use the LoopStay website and service, and the choices you have. By using the service you consent to the practices described here.

2. Data We Collect

Account data: email address, first and last name, and the information you provide when creating an account or requesting a demo (name, hotel, email).

Usage data: IP address, browser type, operating system, device identifiers, pages visited and time spent, and diagnostic data — collected automatically when you use the website or dashboard.

3. Cookies & Tracking

We use session cookies (required for authentication), persistent cookies (to remember preferences and policy acceptance) and functionality cookies (to personalise your experience). You can instruct your browser to refuse cookies; some parts of the service may then not function.

4. How We Use Data

We use personal data to provide and maintain the service, manage accounts and perform our contract with clients, communicate with users (service notifications, support), analyse usage to improve the service, and — where permitted — inform you about products and offers. Data may also be transferred as part of a merger, acquisition or asset sale.

5. Data Sharing

We share data with service providers who help us operate and monitor the service, and with authorities when required by law. We do not sell personal data.

6. Guest Data on WhatsApp

Hotels using LoopStay provide guest names and phone numbers solely so that LoopStay can contact guests on their behalf — for pre-stay assistance and post-stay feedback collection.

LoopStay does not permanently store or retain guest phone numbers or names beyond the processing needed to run these conversations. Only anonymised summaries are retained for reporting to the hotel.

Hotels are responsible for obtaining their guests’ consent to be contacted through LoopStay.

7. Data Retention

Personal data is retained only as long as necessary for the purposes described in this policy. Usage data is generally retained for shorter periods, unless needed for security or legal compliance.

8. Your Rights

You may request access to, correction of, deletion of, or portability of your personal data, and you may object to or restrict certain processing. Update your information from your account, or contact us at valentin@loopstay.ch. We comply with the GDPR and the Swiss LPD.

9. Children’s Privacy

The service is not directed at individuals under 13, and we do not knowingly collect personal data from them. If you believe a child has provided us data, contact us and we will delete it.

10. Security

We use commercially reasonable technical and organisational measures to protect personal data. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
